For a Successful Outdoor Event, Consider:

  • The weather
  • Ambient noise from traffic, construction machinery, nearby airport, fire department, etc.
  • Electrical service, so media techs can plug their equipment in rather than risk running on batteries
  • Internet Service either via building wifi or hotspot
  • Seating - normally theater-style, rows of chairs or standing

For your next Media Event, invest in an AV Technician. It will be money well spent.

There is a lot to take care of! Last-minute speech changes, greeting guests, caterers, missing guest speakers, etc.

Audio-Visual Requirements for Press or Media Events

Make sure you provide media people with the right stuff to make their job as easy as possible. Things like:

PA System

Good, intelligible PA sound is always a basic requirement. Anticipating ambient noise issues ahead of time is very important. The noise from construction machinery, traffic, airplanes or sirens can interfere with your event -- usually at the worst possible time!

Get a PA system appropriate for the size of the group and to overcome that local ambient noise problems, which are more common than may you think

Press Box

Also known as "Mult-Box" or Audio Distribution Box. This allows the media staff to plug in their cameras, recorders and other equipment.

Camera Risers

If it’s a large event, and the media will be at the rear of the guest seating, Camera Risers are a good idea. This helps the camera people can get their cameras above the audience for a clear view of the podium or stage.

Podium

A podium gives an event a more professional appearance. It helps speakers both feel "grounded" in their position, and gives them a place to place their notes.

A podium is also a great place to fasten your logo for the cameras to see.

Francis Audio-Visual has a variety of podiums. Depending on your package, we offer free logo creation on a foam core board that is attached with velcro to the front of the podium, providing great free advertising and branding opportunity.

Video Displays

Showing a video at a press event can be a good idea and be very effective if used properly.

Keep in mind:

  • TVs cannot be seen in direct sunlight
  • TVs do marginally well in tents depending on the amount of daylight and the type of content being shown
  • Video projection does not work outdoors in daylight. A super bright projector in the evening or on a cloudy day may be okay.

Additional Considerations for a Professional Press Event

Lighting

If in a tent or even on a factory floor, lobby or cafeteria, if it’s a cloudy day, your guest speakers will be easier to see by the audience and the media cameras by adding a little front lighting. The Media will thank you.

Stage

If you’re expecting a medium to large group of people, get the speakers up high enough so they can be easily seen by the press and guests.

Backdrop

For aesthetics and to improve the quality of the video being recorded, Francis AV can provide a
neutral-color backdrop curtain or drape. A "Step & Repeat" backdrop showcases your logo. Available at office supply stores or online. 

Microphones

For true press or news conference or a panel discussion, you may want multiple tabletop microphones so each person seated at the head table can be heard and recorded.

Offering Livestreaming for media people that cannot attend in person is becoming more popular. Take advantage of this technology to get your message out.


Image Magnification

Commonly referred to as "IMAG", we can easily capture a live, close-up image of the person speaking and display it on a large TV or projection screen. Great so all can see in a large venue or when there is obstructed viewing.

Recording

Yes, the media is there to capture the live event for coverage on their news channel. Having us or a videographer of your choice record it so you can use the content on social media in the future is a great idea.

Great for small, indoor space with good acoustics.

Good for important announcements, room or wing openings, new product unveilings, statue or artwork unveilings, etc.

Indoor Media Event PA SystemPackage
Medium Group (50 - 100 people)

Great package when you expect a larger audience (50-100 people), especially if you are outdoors or in a tent.  Includes a bigger, better PA system and additional wireless microphone for additional commentary.

For packages over $500 we include a free logo sign that attaches to the front of the podium (see pictures above).

"The Works" Package
(100+ people)

For that major corporate Media Event that spares no expense in getting the word out on your major announcement. This type of event has been in planning for a long time, usually easily 100+ people in attendance. Often there is a stage with several guest speakers, dignitaries, CEOs, etc. If by chance you are on a restricted budget, make sure the audio is pristine. Definite need for site visit well ahead of time.
